I gave a quick look though the Google drive and I don't see any
documentation if we've done this sort of thing before. Per what has been
mentioned already, we'd need to write an agreement to include:
- a list of the instruments they plan to use
- acknowledgement that ACO will cover the costs of any damage caused
to instruments in their care
- date range for the equipment usage
- a statement that the equipment will go to ACWE small ensemble
concerts this holiday season in the event of any scheduling conflicts

If anyone cares, I’m in agreement with Robert. However, lending
instruments should have some very clear paperwork included; they will take
the utmost care and in good faith pay for any damages or replace any
instrument unrepairable.
I’d also suggest very clear time limits with a due date for their
return in the written contract. Possibly have them provide proof of
insurance for what’s being borrowed before pickup.
It makes it easier to lend expensive gear out if we know it can be
replaced in the worst case scenario.

(Austin Civic Orchestra's director), and Tim Shuster (principal
percussionist - ACO) on Friday night. I wanted to know more about their

waiting for our next meeting. I gave no assurances as I let them know that
the decision regarding the percussion was one that the board needs to make

First, *percussion*. They have one concert on October 30 and another
sometime in December. They are planning on playing at least one movement of
Symphonie Fantastique as well as some others that require timpani, chimes,
concert bass drum and keyboards. This is the type of equipment that they
will need. The smaller stuff (snares, toys, small cymbals, etc.) they can
manage on their own. Having spoken with Louis and Tim, I find them to be
extremely professional and they reassured me that they would take excellent
care of the equipment. Dick also mentioned that he would be present at all
their rehearsals and would ensure that the safety of the equipment.
Secondly, *further plans*. Louis and Dick told me that the ACO is
looking (not set in stone) to rehearse at CUMC on the same night as ACWE.
After I composed myself (no pun), I brought up the subject of sound bleed
among other issues. Presumably, we would be in the same place we've been
and they would be in the sanctuary. Personally, I do not see how it's going
to work but Dick feels like he can make the necessary adjustments to make a
go of it.
Now to my opinion on the two subjects.
1) I believe that allowing the use of our equipment would be aligned
with the spirit of our mission. Furthermore, it is a professional courtesy
that we have extended to the brass band for many years. I think I
understand Bob's reluctance and I will, of course, respect the wishes of
the board here but I strongly encourage the board to allow the ACO to use
the equipment in light of the reassurances mentioned above. I didn't talk
about stands with them, but I would offer those as well since we're not
using them.
2) I don't really know what to make of the plans for 2022 on Tuesdays
but it makes me really nervous and I don't know why. No one mentioned
anything about us losing the place so that's at least comforting. Moreover,
I do not think that we would have much to say on the matter anyway. Let's
then consider putting everything in writing so as to minimize ambiguity or
confusion for all stakeholders involved.
On an unrelated note (pun intended and I know that Ellen would be
interested), they will continue to rehearse in the sanctuary on Tuesdays at
least until December. I assume that if there's enough room, small ensembles
could probably use the Fellowship Hall or other rooms (I did not ask about
this - sorry but I forgot). Also, regarding this point, you should note
that Emma Lake (CUMC) will be on maternity leave soon and that the church
is scrambling to get different volunteers to divvy up her duties while on
leave. this means that communication with the church will likely be iffy at
best. Ugh.
Also, I sat in with the Band of the Hills (Cedar Park) on Thursday
night. They had about 60-70 folks there. I can tell you about it when we
meet. Sorry for the lengthy email.
Tom - please consider an ad hoc email or zoom discussion and vote on
the percussion issue as soon as possible since everyone needs to know.

I am with the Austin Civic Orchestra and we are rehearsing in the

is postponing the start of rehearsals until January.
Up until next week, we haven't needed percussion as we are doing medium
sized ensembles and are bringing our own small percussion instruments.
Starting on Sept. 28, the full orchestra will be rehearsing and I would
like to ask to use your percussion equipment.
As a non-profit, if we could borrow the equipment, that would be
great. However, also as a non-profit, we are willing to pay a fee to use
your equipment.
