Good afternoon,
First, I apologize that it is so late in the schedule to reach out for
communications volunteers.
I've been asked to help organize and manage communications support for
the Harpoon Point-to-Point ride. I know very little of the history,
except that apparently Amateur Radio communications have not been used
at this specific event. (I did work the old B2B ride a few years ago).
My bosses are Greg Allen and Will Thomas, who are responsible for
course safety and rider support.
Rob Mather, N1XSS, kindly shared his list of volunteers for the recent
Vermont 100. I've also spoken to Steve Cota, KB1LVE, who has kindly
offered the members of his nationally-accredited bike team to provide
communications and medical support for the 20 Mile Mountain Bike
portion of the event.
I'm hoping we might attract many of you that worked the Vermont 100 to
assist at the P2P.
*Event Information*
Date: August 12, 2017
Begin and End: Harpoon Brewery, Windsor, VT
Benefit: Vermont Food Bank
The primary purpose of our communications service is the furtherance of
safety for all participants and staff. This will be aided through
reliable, instantaneous communications with all key event locations and
all event support assets.
We will be introducing the same structures that have proven to work well
at the BAA Boston Marathon and many other cycling and running events.
These are centered around the ICS principles, which offer the event
organizers and managers the information and control necessary to
confidently provide for the safety and support of all participants and
staff. We will apply the Communications Standards used by the BAA at
the Boston Marathon. Documentation on these and other topics, plus a
communications plan approved by the organizers, will be provided to all
communications volunteers prior to the event. As time is passing
quickly, it's likely the Communications Plan will be the last document
to be released!
The knowledge and helpful participation of all is urgently welcome!
I'm told that Harpoon puts on quite a celebration for participants and
all volunteers. My past experience at the B2B will back up that claim.
This will be a great opportunity to exercise and grow your skills;
contribute to a very worthy cause; meet new friends; and to experience
the appreciation for your excellent teamwork.
If you can help, please reply with your availability, and a little bit
about your skills, interests, and any physical limitations that should
be considered in your preferred work assignment.
*Technology
*N1XSS is of great assistance in securing the necessary repeater
systems. Of concern, the upper portion of the 100 Mile loop, may pose
some difficulty. Any recommendations and ideas are welcome!
Given the wide area of needed coverage and the challenges of terrain, I
am open to the use of DMR and analog systems. It's ideal if all assets
can communicate on a single channel to maintain situational awareness.
Where this is impossible (present case) the event ops center will be
certain to keep all units apprised of the event status and any issues on
any of the event courses.
A Commercial radio system is being considered for this event in order to
maximize support and event management. All mobile Amateur Radio units
will be provided this system along with the Amateur facilities.
We will be publishing an ICS-205 listing the entire communications
infrastructure (for radio programming) once the full spectrum of
facilities is established.
*Assignment Types
*1. Mobile SAG unit operating independently (experience and equipment
required for a cycling event)
2. Communications Assistant to a non-Amateur mobile SAG unit (mobile
radio, safe power connection and mag-mount antenna required)
3. Fixed-station Rest Stop communications. Mobile radio, independent
power and gain antenna may be required.
4. Windsor Event Operations (ideal staffing below)
- 2 NCO (Net Controllers; on-air communications)
- 2 PROCEDURES Controllers (off-air dispatch; logging)
- 1 Assistant to Communications Incident Commander
- 1 NETWORKS Controller (installs and maintains technology)
- 2 Communications Assistants to Event Management/Staff
