I just watched the video that further explains our requirements for the City
funding process. We need to submit everything by November 9. Here is what
needs to be done:
Insurance Stuff
Liability Insurance:
Insurance agent should send City and us an ACORD form. Date of form must be no
more than 6 months old (as in we can't use last year's)
Insurance Endorsements:
-30 day notice of cancellation
-Waiver of Subrogation
-City of Austin must be listed as additional insured and listed EXACTLY as
follows:
City of Austin, Economic Development Department,
Cultural Arts Division
201 East Second St
Austin, TX 78701
Auto Liability (for moving equipment)
We can bundle with our general liability OR use the personal insurance of the
driver (Bob).
Personal insurance must have:
$100,000 Bodily Injury per person
$300,000 Bodily Injury per accident
$50,000 Property Damage
3 Endorsements (I am guessing that is the same endorsements as above)
Bob, hopefully your insurance meets this already and hopefully it is no trouble
for you to add the three endorsements.
Worker's Comp.
We ONLY need this if we are performing on a city property that is NOT managed
by the Parks and Rec Dept. I *think* this will only be an issue if one of the
small groups performs at a city library. They mentioned Zilker Hillside Theater
as something else that would fit under this. Someone there might have gotten
confused about us playing the Zilker Tree Lighting, but that is not the
Hillside Theater.
Budget
I will work up a revised budget and share with you all soon.
Events
Below is what I know so far. Fall and Holiday are what we have planned so far.
July 2019 concerts are listed the same as last year. Let me know if anything
needs to change. For Spring we need something in place of the planned concert
at ECR. Covenant could be a fallback, but we should look at possible dates. I
know some people want something other than May 12, since that is Mother's Day.
If I hear nothing I will put down May 5, 2019 at Covenant. Are we still on for
May 11 at AISD or Westlake PAC? PLEASE let me know what you all think we
should do for Spring!!!
When do we want to do the masterclasses? Will they be flutes, trumpets or both?
ACWE Planned Schedule:
Fall Concerts: "Obscure-ish Earworms" featuring works of music most people have
heard but often can't name.
-October 20, 2018 at Westlake PAC
-October 27, 2018 at Covenant United Methodist Church "No Fear Halloween"
Holiday Concerts:
-November 25, 2018 Zilker Tree Lighting
-December 18, 2018 at Westminster Manor
-December 15 or 16, 2018 at Covenant UMC
Texas Community Music Festival April 26 - May 5, 2019 at Central Market North.
Spring Concerts: "Don’t Feed the Animals"
-May 11, 2019 (or other mid May date) at AISD or Westlake PAC
-May ?, 2019 at ?????
Patriotic Concerts:
-June 30, 2019 at Unity Church of the Hills
-July 3, 2019 at Westminster Manor
-July 4, 2019 at Steiner Ranch
Spinoff groups such as Violet Crown Flute Choir, Clarinet Choir and Trombone
Choir will also perform on their own and in conjunction with ACWE.
Reminders:
The city wants detailed attendance and demographic info in our final report.
We need to find a way to collect this information.

Official City logo and wording needs to be included on all programs and
publicity materials. I need to get the newer versions to Herb for TCMF.
