ACWE.
I am open to sending them an email explaining the size issue and see if they
can come up with a solution. I can also include idea of moving the concert
time. This may be tricky since it is a Sunday morning.

From what Mike shared and from my own experience in the sanctuary, there's no
way we will all fit in that sanctuary unless they are able to remove some of
the pews. (Is moving pews even possible? I'm not sure if they're anchored to
the floor or just really really heavy).
Personally, I also don't like the idea of telling some members that they can't
play in that concert, it feels very un-ACWE to me. Our ensemble is open to
everyone who has a horn and wants to play, and I don't want people in the group
to be discouraged if we start appearing "selective" and asking people to sit
out for this concert. I'm not saying we would necessarily be only picking the
best players to play at unity, but it could be perceived that way.
I don't know if we've shared with the church how many members we expect to play
in the concert, or explained that we need space for the percussion too, but I
think that it would be reasonable to explain to Unity that we can't fit in
their sanctuary with their current setup.
I think it would be best to inform them that we're too large to play in their
sanctuary, and see where the conversation goes from there. We could give them
a couple of alternate suggestions (playing outside earlier, moving pews, etc),
and see if they have any other suggestions.

The last solution would be to cancel the concert. I am not terribly
comfortable with this option, however, am willing to contact the church if this
is the direction that the board would like to take. The downside of this
option would be that we may burn a bridge for future venue opportunities.
Is there a way that we can arrange the band that would allow the band to fit?
I really need to hear from board members about how we would like to handle this
venue. What to do....

Looking at the picture in the link Mike sent, I'm thinking the percussion
equipment alone would take up about half that stage. (Unless this is a concert
where we wouldn't have many percussionists.)
I would love to be indoors, too, but at the same time, I don't remember it
being miserable playing outdoors in previous years for Fourth of July. The
audience always seemed fine, too. They still have the large covered patio,
right?

We've played there on the patio at least 3 times around July 4th. Are these
newer people speaking up? Or have they become more sensitive to the heat?
I would certainly prefer to play inside, but I just don't see us fitting in the
Sanctuary.

We have gotten some pretty firm feedback from our volunteer leadership team
about having the concert outdoors in the heat, so we are considering having
your group perform in the Sanctuary instead. You could park by the back
entrance and enter backstage as the service concludes and set up onstage as the
congregation exits the sanctuary and gets lunch in the foyer and friendship
hall, then begin the concert when you are ready.
The doors between Sanctuary and foyer will be propped open so everyone can
hear, then they can make their way back into the Sanctuary for the remainder of
the concert when they have finished eating. Will this work for you?
