I think your approach is the better as it’s that field that is more likely
to be searched on so needs to contain the important key words.
You could just leave the details field empty I think.

Hello Chris, every now and then I come across an entry like the attached
(neg 2245). Am I right in entering everything in the Assignment box and
putting BLANK in the description or should I transcribe it exactly as seen?
